GENERAL TERMS & CONDITIONS FOR BULVERTON HOUSE HOLIDAY COTTAGES
1. CONTRACT
The Contract for a short-term holiday rental will be between the Owners of Bulverton House Holiday Cottages (referred to as “us” or “we”) and the person making the booking and all members of the holiday party (referred to as “you” or “your”) under the following booking conditions. The contract is not effective until we have received and processed the deposit. The contract will be subjected to these booking conditions and must be complied with. The person making the booking must be at least 18 years of age at the time of booking and must provide names, addresses and ages of your party.
2. ARRIVALS & DEPARTURE
Check-in time is after 3:00pm on the day of arrival. To enable us to have time to thoroughly prepare the accommodation for the next guests, please vacate by 10.00am on the day of departure. Your notification of late arrival or early departure would be appreciated.
3. PAYMENT
3.1 The Deposit (30% of the total amount payable) must be paid at the time of booking the property.
3.2 The balance of the Letting Fee must be paid by the Payment Date (56 days prior to your stay). If the booking is made after the Payment Date the whole of the Letting Fee must be paid at the time that the Property is booked.
3.3 If any sum is not paid by its due date, the Owner shall be entitled to terminate this agreement and the cancellation charges set out in clause 5 shall apply.
3.4 Any booking payments made by cheque must be cleared before they will be regarded as having been paid for the purposes of this agreement. 5 days should be allowed for clearance.
4. CANCELLATION TERMS
Cancellations must be immediately notified to us and confirmed in writing. The treatment of the cancellation will depend on the date the booking was made, the date the cancellation was made and the reason for cancellation.
5. COVID CANCELLATIONS
In the event of a National lockdown coinciding with your stay, you will be offered a full refund. In the event of a Local/Regional Lockdown placing travel restriction on the address you provided when booking, you will be offered a full refund as long as the restrictions coincide with your stay. If you (or any members of your party) are unable or unwilling to travel due to falling ill to Covid-19, required to self-isolate or quarantine you will not be offered a refund. For this reason we strongly recommend that you take out suitable travel insurance which includes cover for Covid-related cancellation. Covid-19 is now a known risk and it is possible for you to ensure your holiday against it.
6. CANCELLATION REFUND
If you cancel less than 56 days prior to your arrival date and we are unable to re-let the property a percentage of the total will be refunded as follows:
Cancellations made more than 56 days prior to arrival receive a full refund of the deposit.
Cancellations between 30-55 days prior to arrival receive a 50% refund of the total cost.
Cancellations between 15-29 days receive a 25% refund of the total cost.
Cancellations between 0-14 days receive a 0%.
Every effort will be made to re-let the property and if successful, you will be reimbursed the amount you have paid less any difference in the price for the replacement letting.
If you are eligible for a refund payment, reimbursement will be made on the departure date of the original booking and payment will be made to the card or bank account used for payment.
7. CANCELLATION BY OWNER
If the Owner cancels the booking for reasons beyond its reasonable control (Force Majeure) you will be refunded the full amount of the booking or offered alternative holiday dates. In this contract a Force Majeure Event means circumstances which may hinder or prevent performance of the contract, including but not limited to acts of God, flood, drought, earthquake or other natural disaster, Epidemic or pandemic, Terrorist attack, civil war commotion or riots, war threat of war, armed conflict, sanctions, embargo or breaking of diplomatic relations, Law or action taken by government, or restrictions, fire, explosion, accident, strikes, interruption or failure of utility services. No extra compensation shall be payable. The Owner shall not be responsible for travel expenses, alternative accommodation or other expenses that may have been or may consequently be incurred. You are advised to take out travel insurance to cover disruption beyond the cover described here.
8. GROUP BOOKINGS
We reserve the right to refuse group bookings or other persons who in our opinion are unsuitable for the accommodation.
9. NUMBER OF PERSONS
The number of persons allowed in each cottage is as shown on the website. Babies in cots are allowed in addition. You must satisfy yourselves that the accommodation offered will meet your requirements and we make no representations regarding suitability for more than the specified occupancy.
10. RESPONSIBILITY, CARE & BREAKAGES
The person making the booking will be responsible for all members of the party and should ensure that they are aware of the booking conditions. If these are not met, we could refuse right of entry to the property and no monies will be refunded. You are responsible for the Cottage and are expected to take all reasonable care of its furniture, pictures, fittings and fixtures, inside or outside the property. You must leave the Cottage in the same state of repair, and condition that it was presented at the start of your holiday period. Breakages and damages should be reported to the owners for replacement, repair or cleaning. Though we will not charge for a small item, in the event of any significant damage or loss you are legally bound to reimburse us for replacement, repair or extra cleaning costs on demand. This includes any loss of keys. Judgment of what is significant is at the owners’ discretion.
11. COT & HIGHCHAIR
Available on request, free of charge
12. DOGS
We welcome one well-behaved dog to stay at Delderfield Cottage and a maximum of two at Sampson Cottage. All dog waste must be collected and disposed of by the dog owner. There is an additional charge for the dog’s stay. Dogs must not be left unattended in the cottage at any time.
13. PARKING
One car parking space each for Orlando & Delderfield is provided, two spaces are provided for Sampson cottage. There is a VoltShare 7kW EV Charging Point (untethered, type 2 socket) available to guests. Vehicle charging via VoltShare App at £0.48/kWh (subject to change).
14. BED LINEN & TOWELS
All bed linen, tea towels, bath and hand towels are included in the holiday price. Beach towels and bedding for cots are not provided.
15. ELECTRICITY, GAS AND WATER
Included in the hire charge.
16. BBQ
A gas BBQ with utensils is available on request free of charge. The BBQ and utensils should be returned in a clean condition.
17. RIGHT OF ENTRY
The right of entry to the property at all reasonable times is reserved by the Owners with or without workmen for the purpose of inspection or to carry out any repair deemed necessary to the property or equipment, including gardening.
18. LIABILITY
Care must be taken by all guests at times. We do not accept responsibility for any damage to or loss of guests’ property, cars or contents and you agree to indemnity and hold us harmless from and against all actions, proceedings and claims (including reasonable legal fees incurred in defending the same) arising from your acts or omissions (and those in your party) whilst on our premises.
19. SAFETY REGULATIONS
The Owners confirm that the furniture and furnishing, gas, electrical appliances and equipment comply with the applicable safety regulations.
20. COMPLAINTS
The Owners will make every effort to ensure your stay is enjoyable. However, if there is a problem or there is cause for concern, you must immediately contact the Owners who will try to resolve the issue. The Owners are on site and will do their best to ensure any problems or issues are promptly dealt with.
21. SMOKING & VAPING
For the benefit of all guests, we ask patrons not to smoke or vape on the premises.
